Schedule automated rejections in SAP SuccessFactors Recruiting

SAP SuccessFactors recruiting offers a number of options for configuring automated rejections as standard. The delay in cancellations can also be configured administratively. However, many of our customers expressed the need to schedule automated rejection emails rather than delaying them for a standard duration. In order to focus more on the appreciation of applicants, automatic rejections should be prevented from being sent out on weekends or overnight.

For this purpose, we developed a customer-specific solution to send cancellations at a specific time on a daily basis.

Our solution – based on that Open Data Protocol and the SAP SuccessFactors Integration Center – takes into account the desired rejection date and the selected rejection reason in order to specify the email template.

If the application is saved with a value in the Rejection Reason field AND a value in the Rejection Date field, a rule automatically moves it to the “Automatic Rejection” status.

An integration that runs daily at 14 p.m. moves all applications that are in the “Automatic Rejection” status and for which the “rejection date” corresponds to today’s date to a “rejected status”. This “cancelled status” is linked to an email notification.

Our solution therefore not only takes into account the desired cancellation time, but also the reason for the cancellation and the possible differentiation of the cancellation email.

In this way, applications can be administered more efficiently and the operational tasks and scheduling of recruiters can be reduced.
