SEND SAP HR DOCUMENTS WITH E-POST

Introduction

With the product e-Post, Deutsche Post AG provides a service with which the sending of employee documents such as wage and time statements, wage tax and DEUEV certificates can be organized easily, conveniently and inexpensively.

The product e-Post

1 – The customer makes the documents to be sent by post electronically available to the service. Our application for the area of ​​HR documents is described in the Solution Concept section.

2 – Deutsche Post AG prints, envelopes and franks the letter.

3 – The recipient receives the letter in their mailbox

The advantages for your company are:

  • The process of printing, enveloping and franking paper documents is done by Deutsche Post AG.
  • Low financial outlay, the costs including postage and delivery start at 60 cents per letter.
  • The delivery takes place reliably in the domestic mailbox.

Solution concept

Requirements for using e-Post

  • Access to the e-mail service of Deutsche Post AG
  • The document and address structure as well as the blocked areas of the letter must meet specified criteria
  • PDF (PDF/A) or PCL5 can be used as the file format, whereby a file can contain one or more letters
  • The remuneration statement was created with HRFORMS

The LMC solution

Our e-Post solution consists of a report that creates the payment statement and the required e-Post control files and makes them available in a server directory as a ZIP file.
A file containing all documents to be sent by post is generated for each personnel number. The remuneration statement forms the "cover sheet" since its design can be created according to the specifications.
Optionally, DEUEV notifications and wage tax statements can be added to the letter.
Employees who have access to their certificates and forms via the ESS portal can be excluded from having the documents sent by post.
